DORSET COUNTY ASA 2008 DORSET COUNTY MASTERS & SENIOR AGE GROUP CHAMPIONSHIPS All Clubs, coaches and competitors should carefully read the information given below before completion of entry forms. This sheet should be retained for future reference. General Conditions:
1. The current Dorset County ASA General Competition Conditions will apply as printed
in the ASA SouthWest Region ASA Handbook, unless inconsistent with the conditions which follow. All entrants must accept these conditions.
2. Swimmers competing in any other County Championship or Age Group Competition are NOT
eligible to compete in any Dorset County Integrated BAGCats, Championship or Age Group Competition (the Competitions), or any event covered by the Dorset General Competition Conditions.
3. The following conditions will apply to Swimmers Entries:
a. All competitors must have an ASA registration number. No entry will be accepted
without the swimmer’s current ASA registration number.
b. Swimmers with a Functional Ability Card or Certificate of Swimming Disability may
c. ASA or IPC Official Times MUST be submitted for all individual events entered. d. ASA/IPC Official Times must have been achieved in an event held under ASA Laws
and Technical Rules or IPC Rules from which an individual Official Time has been recorded.
e. All submitted entries must be made using Short Course times. Conversion of Long

and date at which the Official Time was achieved being declared.
h. An officer of the swimmer’s club MUST certify all ASA/IPC Official Times. i. Entries received will be subject to satisfying the qualifying standards as
specified in the Competition or, if space permits, the consideration standard where specified. Entry times outside of the consideration standard will not be accepted. (Swimmers with a Functional Ability Card or a Certificate of Swimming Disability, see Entry Conditions clause 5(b) of the 2008 Entry Conditions & Information for exceptions.)
j. Entries will be seeded on submitted times, the slowest time swimming first. k. The Promoter may request validation of any stated ASA or IPC Official entry time. l. All Ranx entries must comply with 3(a-g) above. Non-Ranx entries from Clubs not
using Ranx must ensure that the conditions stated at 3(a–g) above are given fully. Any entries not complying with 3(a-g) above or are found to be incorrect shall be void and the entry fee forfeited.
4. All official entry times submitted must have been achieved between the first day of
the preceding year’s Integrated BAGCats, Championships and Age Group Competition and the applicable closing date of this year’s Competition unless otherwise stated. Submitted entry times achieved outside of this specified period will not be accepted.
5. All entries must come from the Club Entries Officer and not individuals and enclose
a stamped, self-addressed envelope to enable entries to be acknowledged.
6. Clubs will receive a confirmation of accepted entries and entry cards prior to the
Competition, the details of which should be checked and any discrepancy notified to the Meet Co-ordinator immediately. Any rejected entries will be listed.
7. All swimmers will have an official entry card for each entry accepted, otherwise
they will not be permitted to swim in that event.
8. Individual entry cards must be posted in the prescribed entry boxes at least 30
minutes before the time at which the gala is due to start. Swimmers are not considered to be in any event until they have posted their cards in person. Failure to make this secondary entry within the stipulated time will cancel any right to
compete in the event/s. Swimmers may be allowed to swim in unallocated lanes in earlier heats in the same event at the Referee’s discretion. This shall be on a first-come first-served basis.
9. Failure to appear in the designated heat will cancel any right to compete in that

10. All competitors will be placed with the exception of any swimmer disqualified.
11. Requests for Time Trials will not be accepted at any time.
12. Improved entry times will not be accepted at any time.
13. All entries must be received by the applicable closing date as a whole Club entry
together with the correct entry fee and, if appropriate, the administration fee. A single cheque payable to Dorset County ASA must be sent with each Club’s entry. No entries will be accepted after the applicable closing date.
14. Entries submitted without the correct entry fee, entry forms, administration fee and
health declarations incorrectly completed where applicable will be returned.
15. A single cheque will be made for any refunds due for rejected entries to the Clubs
after the completion of the competition.
16. No refunds will be made for withdrawals after the closing date unless on medical
grounds for which a doctor’s certificate will be required.
17. The Official Promoter of the Competition is the Dorset County ASA Swimming Committee
through Mr. John Bolton. The Swimming Committee has set all conditions of the Competition and any enquiries in the first instance should be directed to the Promoter via the swimmer’s Club Entries Officer, as follows: John Bolton, 5 Stanfield Road, Ferndown, Dorset BH22 9PA. (01202 897152)
18. The Swimming Committee has delegated the running of the event to a Meet Co-
ordinator. Entries should be sent to the Meet Co-ordinator by the applicable closing date, as follows: Di Gibbs, 22 Stibbs Way, Bransgore, Christchurch, Dorset BH23 8HG.
19. The dates and events for the programme of this year's Dorset County Masters & Senior
Age Groups Championships are as printed on the 2008 Entry Conditions & Information sheet enclosed.
20. The Promoter reserves the right to alter or amend the Programme. In the event of any
major alteration Clubs will be informed accordingly.
21. All competitors, coaches, team managers and spectators are required to observe all
safety announcements and conduct themselves appropriately and with safety in mind at all times within the hired facility. Doors will be open and warm up will start approximately 30 minutes before the gala is due to commence. Swimmers will not enter the hired area until the Referee shall give permission. The Referee is responsible for all aspects of health and safety in the area hired by DCASA and can halt the competition at any time if there are any perceived risks to health and safety of competitors, officials or spectators.
22. Any swimmer or coach requiring wheelchair access MUST ensure that the relevant
leisure centre approves this in advance and a personal evacuation plan agreed and submitted to the Promoter for passing to the Referee prior to the start of the gala.
23. It is the responsibility of each Club’s Committee to ensure that their Coach, Team
Managers and Warm-Up/Warm-Down Marshals are responsible for their swimmers on the poolside, including behaviour, dress and code of conduct at all times.
24. The use of the warm-down facility (if provided) is made available to swimmers ONLY
if supervised by one of their Club officials with an accredited poolside pass. The facility will be withdrawn if the use is unsupervised or if deemed to be a risk to health and safety.
25. In line with recommendations in the ASA Child Protection Policy, the Promoter of
this event requests that any persons wishing to engage in any video, zoom or close range photography registers their details with DCASA Staff at the spectator entry desk before carrying out such photography. The leisure centre may have its own local regulations on this subject, which may supersede this condition and must be complied with. Anyone not complying will be asked to leave the spectator gallery/poolside.
26. Dorset County ASA reserves the right to take and publish photographs during
presentations. Any request not to be photographed MUST be documented on the swimmer’s Health Information Form and be received by the Promoter before the Competition commences.

3. Entry Fees
a. Individual events - £5.00 per event.

4. Events
All events and distances are as defined by the ASA. Competitors must submit a current ASA number and be registered as either a Category One or Category Two swimmer.
a. Individual events
i) All 200m events and the 400m Freestyle will be swum as mixed time-seeded
heats. Awards for these events will be made in accordance with Clause 9(a) of the 2008 Entry Conditions & Information.
ii) A competitor entered in the name of one club in individual events may not
compete in the name of another club in team events.
b. Team events
Clubs may enter teams in both age groups but are limited to two teams per age group per event.
Clubs must nominate four swimmers on the entry form. Changes in team members must be notified to the Recorders Desk 30 minutes before the start of the relevant session.
Senior Age Group swimmers may compete in team events but are restricted to the 120+ years age group. Masters swimmers may compete in both age groups.
Mixed teams shall consist of two competitors of each sex swimming in any order.
Team events may be swum in continuous series, not with separate heats by age group, as time permits.
5. Entry Times a. Qualifying Times
i) Qualifying or consideration times have not been set for this competition.
Entries will be accepted into the competition as time permits.
ii) A competition period in which submitted times have been achieved has not

Swimmers with a registered Functional Ability Card or Certificate of Swimming Disability may submit entries and will be accepted as time permits as part of the overall competition. Swimmers will compete in the appropriate time ranked heat.
The details of Functional Ability/Disability classification should be declared along with an entry time. The card or certificate must be presented to the Referee before any swim to which it applies.
6. Health Declaration
To ensure adequate safety procedures and protocols are observed, and the safety and well being of all swimmers, all associated medical conditions must be declared on a Health Information Form together with the management plan for the condition. These conditions include, but are not limited to: asthma, seizures, epilepsy, diabetes, low blood pressure, cardiac abnormalities and tendency to hyperventilate. The Declaration shall be made by the swimmer/parent/guardian for the sole use of those persons with responsibility for health and safety during the Competition. The content of the declaration will remain confidential.
7. Competitors Declaration Form
All swimmers must submit a Dorset County ASA Competitors Declaration Form.
8. Heat Declared Events
All events will be Heat Declared Winner (HDW). There will be no Finals.
9. Awards & Presentations a. Individual awards
Age Group medals for HDW events will be awarded for first, second and third places in each of the designated male and female Age Groups.
For swimmers presenting a Functional Ability Card or a Certificate of Swimming Disability medals will be awarded for first, second and third placed swimmers in each age group provided there are at least four swimmers. Where only three swimmers compete, first and second place shall be awarded and should there be only two swimmers, first place only shall be awarded. The promoter reserves the right to vary these conditions if appropriate. The order of finish will be determined by the relative position to the World Record for the relevant Functional Ability category.
Swimmers may collect medals from the Presentation Table once the results have been published. There will be no formal presentation of medals.
b. Team awards
i) Ribbons for relay events will be awarded for first, second and third
places in each of the designated Age Groups.
ii) Swimmers may collect awards from the Presentation Table once the results
have been published. There will be no formal presentation of awards.
c. Club awards
A trophy for ‘Top Masters Club’ calculated from Club Team Points will be presented at the end of the Championships.
11. Club Team Points
Points will be awarded to all individual swimmers placed first to six in their respective Age Groups as follows: 1st place = 6 points descending to 1 point = 6th place. Team Points will be displayed at strategic times throughout the Competition. Relay events are not taken into consideration. Where a swimmer has dual recognition, he/she may represent only one Club. This shall be the Club named on the entry form.
12. Code of Conduct
All swimmers shall comply with the DCASA Code of Conduct and the County further reserves the right to take any disciplinary action against the swimmer(s) concerned and/or the swimmers’ Clubs.
13. Poolside personnel
Only duly authorised personnel, and including any person accompanying a swimmer with a Functional Ability Card or Certificate of Swimming Disability, who are registered on the ASA/Clubs Child Protection Lists and competitors shall be allowed poolside.
14. Spectators
Entry will be free and subject to the limit of accommodation at the respective venue.
